About the Role

The Officer - Shared Services provides comprehensive support to the Travel & Onboarding function within the K92 business. This role is responsible for end-to-end travel coordination—including flights, accommodation, and ground transport—as well as supporting onboarding activities such as arranging pre-employment medicals, visas, and mobilisation to site. It plays a critical role in collaborating with key stakeholders to ensure seamless travel logistics and mobilisation aligned with operational priorities and expatriate roster requirements, while maintaining compliance and driving excellence in outcomes and efficiency across all processes.

 

Key Accountabilities

This position supports efficient, compliant, and well-coordinated travel and onboarding for personnel across the business. Responsibilities include:

Travel Coordination & Logistics: Coordinate end-to-end travel arrangements for employees, contractors and visitors, including flights, accommodation and ground transport, and respond promptly to disruptions, emergencies and last-minute changes.

Onboarding & Mobilisation Support: Arrange pre-employment medicals, visas and mobilisation to site, and support mobilisation and demobilisation for new project start-ups, shutdowns and major maintenance campaigns.

Stakeholder Communication & Service Delivery: Work closely with HR, operations and other key stakeholders, providing accurate and timely communication to employees on travel itineraries, onboarding requirements and mobilisation schedules.

Compliance, Safety & Risk Management: Ensure all travel and onboarding activities comply with company policies, procedures, safety protocols, security standards, privacy laws and relevant international travel and border requirements.

Process Improvement, Reporting & Finance: Monitor and optimise processes for efficiency and cost-effectiveness, process and reconcile travel-related invoices, prepare reports on travel activity and time to mobilise, and maintain accurate traveller profiles, onboarding documentation and system data.

About You

Certificate IV or Diploma in Travel, Tourism, Human Resources or equivalent experience (desirable)

Experience working in corporate travel services, visas and immigration

Experience in a FIFO mining operation (desirable)

Proficiency in using travel management systems, PeopleTray experience is an advantage
