About the role
In this role you will manage travel team by providing leadership and technical specialist advice in efficient travel procedures, management of travel systems that combines rostering and accommodation for site based staff, contractors and business travel. You will also oversee the management of fleet to ensure efficient, cost-effective movement of employees, contractors and visitors to site.
A large part of this role will be to provide guidance, instruction, and training to the national travel team members so that emerging leaders in the existing team develop their skills as part of our long term succession plan.
Key / Major Accountabilities
- Contribute to the development of annual travel and accommodation budget.
- Immediately address any variances against the plan to ensure delivery of the annual business plan.
- Develop and execute contingency plans to ensure plan delivery.
- Put in place and manage effective processes for reviewing progress against plan with direct reports.
- Review service agreements to ensure compliance and meet business requirements.
- Setting direction and leading the travel team, actively promoting a safe and healthy culture.
- Actively establish a high-performance culture by motivating employees to achieve a high level of performance and by rewarding and recognising high performance.
- Manage effective processes for communicating relevant information, including company, site, department and team performance, to all site personnel.
- Actively manage work performance of direct reports and actively managing the development of talent and succession to designated key roles, promoting regionalization and nationalization strategies.
- Actively promote an environment where all employees are engaged and valued.
- Management of service agreements and providers associated with travel and external accommodation.
- Effective allocation of available resources so that tasks are correctly and efficiently performed and recorded
- Manage and oversee the travel systems, procedures and processes.
- Develop and implement controls to ensure accuracy and data integrity of any travel and accommodation information.
- Ensure ticket bookings are completed in a timely and cost-efficient manner through the travel provider and airlines.
- Arrange travel and accommodation for authorised business travel.
- Manage, oversee and coordinate charter services and schedules including management of charter providers.
- Manage and arrange in accommodation for personnel as required.
- Manage invoices from all travel providers and arrange for payment through the commercial team.
- Ensure adequate control processes are in place to manage, track and report on the cost impact of employees not working scheduled rosters especially for flight changes and cancellations.
- Ensure all drivers of travel fleet are trained, licensed and comply with health and safety (including fatigue management), regulatory and legal requirements within Papua New Guinea.
- Plan, schedule and develop annual schedules with a view to optimise the movement of people.
- Plan, schedule and manage payment of licenses and permits for light vehicle fleet in conjunction with the Maintenance Department.
- Complete regular reconciliations of all sales returns for the airlines and travel providers.
- Ensure compliance with scheduled fleet maintenance program.
- Ensure preferred accommodation providers are identified in key locations and competitive commercial agreements are in place.
- Manage effective relations with accommodation providers to ensure a high-quality service is provided to K92 travellers.
- Coordinate and manage accommodation bookings for personnel of K92 Mining.
- Ensure all company related documents are updated and relevant and correct versions are published and in sure.
- Ensure compliance with all travel related procedures including Kumian Camp Procedure, Travel Procedure.
- Manage processes in conjunction with the K92 Security Team to identify and evaluate risks associated with flights, road travel and accommodation.
- Ensure risk management plans are regularly reviewed and management actions are delivered; and Address risk management as part of all material decisions taken.
- Develop travel and accommodation dashboard and report to relevant stakeholders.
- Monitor and report on activities, costs, performance etc. as required.
- Develop and implement strong reporting procedures
About You
Qualifications & Experience
- Tertiary qualification or qualifications in Travel and Tourism (Certificate III or IV) (Desirable).
- Computer proficiency in MS Office suite, including Microsoft Excel – Intermediate (Essential).
- Experience in financial management and travel systems (Pronto preferred) (Essential).
- Minimum of 5 years’ experience in supervisory roles overseeing travel and accommodation functions.
- Experience in managing a travel team.
- Previous experience in mining industries and FIFO operations.
- Previous experience in PNG or developing countries in remote locations (desirable)
- Excellent written and verbal communication skills.
- Proven ability to manage teams and to timeframes.
- Adaptable, resilient and strong emotional intelligence.
- Sound planning, analytical and problem-solving skills.
- Self-motivated with the ability to work under pressure and autonomously.
- Excellent attention to detail and time management skills to meet deadlines.
- Strong active listening & interpersonal skills for rapport building, conflict resolution & training.
